EU DisinfoLab 2025 Annual Conference
15-16 October, Ljubljana, Slovenia
Manage your registration
How do I register?
In #Disinfo2024, we were pleased to receive more than 800 requests to attend. Unfortunately, managing these requests has a cost, and this year we will have to restrict the attendance to professionals only. That said, no invitation is needed – everyone is welcome to request attendance at #Disinfo2025. If your request is approved, you will be notified via email with details on how to process your participation fee.
While the registration deadline is 30 September, we encourage you to register as soon as possible. Due to high demand and limited seating, tickets may run out.
What does it cost?
To maintain the quality and independence of the conference, there’s a nominal registration fee. In an era where many services claim to be “free” often turning users into the “product”, we strive to align with our ideals of independence and authentic freedom of speech. This approach ensures that our conference reflects our values.
The Early Bird registration fee is 130 EUR (excluding VAT) for civil society members, academics, and journalists, and 250 EUR (excluding VAT) for government and corporate attendees. This fee will increase to respectively 150 EUR and 300 EUR after 27 May 2025, and to 190 EUR and 350 EUR for late registrations after 1 October 2025.
We keep track of no-shows. If in prior EU DisinfoLab conference editions you were granted access but didn’t attend without notifying us, your #Disinfo2025 registration might be put on hold.
What do I need to know about VAT?
Why am I paying a VAT on the registration fee?
You are paying a Value Added Tax (VAT) on the registration fee because it is required by the laws and regulations of the EU and its member states. They establish that VAT must be paid on the fees in the country where the meeting is held.
Can the VAT be recovered?
Possibly. Only companies from the European Union and from Canada, Croatia, Island, Israel, Japan, South Korea, Liechtenstein, Macedonia, Norway, Switzerland, Turkey, Serbia, Montenegro, Taiwan and UK can claim back the Slovenian VAT. To recover the VAT you must provide the details of your company – name, address, VAT number or Tax ID – for all expense invoices and submit all original documentation to your company for its processing.
Pay attention that the VAT refund on certain expenses like accommodation, meals or beverages – unless these costs are incurred by the taxable person for such supplies in the course of his business, entertainment expenses, passenger cars and motorcycles, fuels and lubricants and spare parts and services closely related thereto, aircrafts, yachts and boats intended for sports and entertainment, are not accepted by the Slovenian Tax Administration.
What process should companies follow to recover the VAT?
1. European Union Companies
EU companies must contact the Tax Administration of their own country for instructions regarding the conditions and process to follow for reclaiming the Slovenian VAT. There are also minimum VAT amounts that must be met.
For the refund applications for one to three quarters by an EU company the minimum amount is EUR 400. If the refund application relates to a refund period of a calendar year or the remainder of a calendar year, the amount of VAT may not be less than EUR 50. Please note that these amounts refer to ALL the VAT from the expenses incurred FROM ALL ITS EMPLOYEES in Slovenia for this meeting and any other business-related VAT incurred in Slovenia.
2. Non-European Union Companies
The Non EU companies must file VAT refund claim using the form DDV-VTD (VAT refund claim) no later than June 30th after expiry of the calendar year in which VAT was charged.
In order for the Non EU companies to be able to claim refund of the VAT paid in Slovenia, they have to acquire a tax identification number and a qualified digital certificate, which needs to be registered in the eTax system prior to submitting this form for the first time. Another business entity or legal person can also be authorized to enter tax information into the eTax system and to transmit applications for VAT refunds on behalf of the non-EU company. More information can be found here at point 5.0.
There are also minimum VAT amounts that must be met. The VAT refund must be at least € 400, This does not apply if the refund period is a calendar year or the end of a calendar year. For these refund periods the amount to be refunded must be at least € 50. Please note that these amounts refer to ALL the VAT from the expenses incurred FROM ALL ITS EMPLOYEES in Slovenia for this meeting and any other business-related VAT incurred in Slovenia.
Will I get a badge?
Your individual badge will be sent by email prior to the conference, allowing you to print it in colour before the event.
The EU DisinfoLab’s official photographers will capture moments during the event. If you prefer not to be photographed, you will be able to select a red lanyard for your badge at the registration desk on-site.
How do I manage or cancel my participation?
If you are unable to attend the conference, please cancel your participation (see Terms and Conditions), and we will then notify participants on the waiting list. We keep track of no-shows – if you were granted access but didn’t attend, and did not notify us, your future registrations might be put on hold.
Can journalists attend?
Yes, absolutely – we’d love to see media coverage of #Disinfo2025. If you’re working for a media outlet or freelancing on a mission, you’re very welcome to get involved. If you’re in a position to do so, we kindly encourage you to register as a participant to support the event. Media accreditation will open closer to the conference dates, but please note that places are limited, so we can’t guarantee all requests will be approved.
